How the Academic Mentor Guided the Student

1. Understanding the Assessment Framework

The mentor began by explaining the purpose of the task creating and monitoring an operational plan that aligns with organisational requirements. This included clarifying WHS duties, risk-assessment expectations, and quality standards.

2. Breaking Down Each Stage of the Assessment

To avoid confusion, the mentor guided the student through all six stages, showing how each one connects to operational planning processes. They reviewed the scenario and appendices together before starting the tasks.

3. Analysing Policies and Procedures

The mentor demonstrated how to read and extract key points from workplace policies related to WHS, budgeting, procurement, staffing, and operational requirements.
The student learned how these documents influence the decisions in the plan.

4. Identifying Stakeholders and Consultation Requirements

The mentor helped the student list relevant professionals such as café supervisors, financial officers, suppliers, OH&S consultants and explained:

  • Why each stakeholder is needed
  • How to consult (meetings, emails, phone calls, interviews)
  • How consultation supports accurate resource planning

5. Selecting the Operational Plan Model

The mentor guided the student in evaluating different planning models (e.g., goal-based, resource-based, timeline-based).
Together, they identified the model most suitable for a café opening scenario, considering budgeting, staffing, and resource allocation.

6. Creating a Realistic Budget Process

The mentor walked the student through:

  • How to break down costs
  • How to cross-check organisational budget guidelines
  • How to determine priorities within limitations
  • Who must be involved in these decisions (finance team, manager, suppliers)

7. Approval Pathways

The mentor helped the student understand reporting lines and approval authorities, such as senior managers or operational supervisors.

8. Communicating the Plan

The student was coached on selecting an effective communication method for the team:
team meetings, email briefings, presentations, or digital project boards.

9. Completing the Operational Plan Template

Finally, the mentor guided the student through each section of Appendix C, showing:

  • How to set timelines
  • How to identify KPIs
  • How to include contingencies
  • How to align tasks with the café’s operational goals

Outcome of the Mentoring Process
